The Downloads & Reports tab in Compensation Management provides a variety of standardized reports about your organization that can be downloaded to Excel, plus the Employee Communication tool to communicate compensation changes to employees.
The Downloads & Reports tab includes these reports:
•Departments
•Pay Grade - Basic
•Pay Grade - Detailed
•Employee Pay Alignment
•Total Rewards Statement
•Salary Increases - General
•Salary Increases - Compa Ratio
•Salary Increases - Market Index
•Salary Increases - Summary
•Incentives
•Employee - Short (a shortened version of the full Employee List)
•Employee - Full (a copy of the full Employee List)
•Employee - Archived (an archive of a selected year of the full Employee List)
•Budget
•Employee Communication
•Notifications (including FLSA, Minimum Wage, Pay Grade and Market Index, and Merit Over/Under)
To Export a Report
1.Navigate to the Downloads & Reports tab of Compensation Management.
2.Select a report from the Compensation Report drop-down menu.
3.Make any further selections based on the report type selected.
4.Click the Download Report button to open OR save the report.
The Employee Pay Alignment report helps users update employee compensation to align with market data, pay grade midpoint, or pay grade range.
To Export an Employee Pay Alignment Report
1.Navigate to the Downloads & Reports tab of Compensation Management.
2.Select Employee Pay Alignment from the Compensation Report drop-down menu.
3.In the Align with field, select one of these options:
•Market Data
•Pay Grade Midpoint
•Pay Grade Range
4.The Employee List displayed is read-only and corresponds with your selection on the Employee List page.
5.For the Market Data option, the Default Market Rate displayed is read-only and corresponds with your Default Market Rate selection in the Modify Percentiles modal on the Employee List page.
6.Click Filter Report to open the Edit Report dialog, which varies depending on your selection in the Align With field:
•For Market Data alignment, select an Analysis Group and enter a value for the Market Index Difference. Click
for a definition and example of -Market Index Difference.
•For Pay Grade Midpoint alignment, select an Analysis Group, enter a value for the Compa Ratio Difference, and select a pay grade Structure. Click
for a definition and example of Compa Ratio Difference.
•For Pay Grade Range alignment, select an Analysis Group, select an option for Over/Under Grade, and select a pay grade Structure. Click
for definitions of Over Grade, Under Grade, and Outside of Range.
7.Click OK to save your selections in the Edit Report dialog and return to the main page.
8.Click the Download Report button to open OR save the report.
The Total Rewards Statement provides a complete breakdown of pay for an individual employee, including current base, incentive, and long-term compensation, plus benefits, with employee and employer contributions for each benefit option.
To Export a Total Rewards Statement
1.Navigate to the Downloads & Reports tab of Compensation Management.
2.Select Total Rewards Statement from the Compensation Report drop-down menu.
4.Select an Employee Name from the drop-down list.
5.Click Manage Total Rewards Rows to select the compensation, benefits, and/or mandated benefits that you want to include in the report. The default includes all options.
6.Click Add Company Logo to add your company logo to the report, if desired.
7.Click the Download Report button to open OR save the report.
The Employee Communication tool in the Downloads & Reports tab helps users draft and export PDFs to communicate compensation changes to their employees. Users can download employee communication letters for a single department or a single employee and customize the letters, as needed.
To Use Employee Communication
1.Navigate to the Downloads & Reports tab of Compensation Management.
2.Select Employee Communication from the Compensation Report drop-down menu.
3.Select from the Download Options:
•Download employee communication letters for a single department
•Download employee communication letters for a single employee
4.For a single department download, choose to either download as a single PDF OR multiple PDFs. Then select the department.
5.For a single employee download, select the employee.
6.Select one or more options for the Type of Communication:
•Merit Increase
•New Base
•New Incentive
7.Select the Date for the letter.
8.Select a Greeting:
•Write a customized greeting
•Automatically add greeting with employee name
9.Write an Introduction, using the default form as needed.
10.Review the Merit Increase, New Base, and New Incentive data (read-only).
11.Write a Conclusion, using the default form as needed.
12.Add your Signature, using the default form as needed.
13.Add a Footer with your email and/or phone number.
14.For a single department download, you may choose to exclude employees with no compensation changes.
15.Click View Preview to preview the PDF(s) prior to download.
16.Click Download PDF to export the PDF OR click Cancel to revise the letter.
